Atelier Policies

These Atelier Policies are here to help set clear, respectful expectations so your project runs smoothly from start to finish. By booking services with Vellum & Vine Atelier, you acknowledge that you have read and agree to the policies below.

Services Offered

Vellum & Vine offers the following services:

• Engraving and foiling on various materials

• Watercolor art and custom botanical illustrations

• Live event calligraphy and engraving services

• Custom bespoke projects and collaborations

Each project is unique. Specific details, pricing, timelines, and deliverables will be confirmed in writing before work begins.

Quotes and Proposals

Custom quotes are provided based on project scope, materials, complexity, and timeline. Quotes are valid for 30 days from the date of issue unless otherwise specified.

A quote is an estimate until a deposit is paid. Calendar availability and pricing are not guaranteed until the deposit is received.

Significant changes to the project scope after a quote has been accepted may result in additional fees, which will be communicated and approved before proceeding.

Turnaround Time

Turnaround time varies by project scope and complexity, typically ranging from 1-6 weeks from the date the deposit is received and project details are finalized. Your specific timeline will be confirmed in your quote.

Rush service may be available for an additional fee of 30% or more, subject to my availability and the scope of the project. Please inquire if you have a specific deadline.

Turnaround times are estimates and may be affected by factors beyond my control, including material availability, client delays in providing necessary information, or unforeseen circumstances. I will communicate any delays promptly.

How I Work (The Nature of Handmade Work)

All calligraphy, engraving, and watercolor work is created by hand. Because of this:

• Letterforms, spacing, ink density, and layout will naturally vary from piece to piece

• Handcrafted work will not look identical to printed or machine-produced work

• Each piece should be viewed as an individual work of art

These variations are not considered defects, but an inherent and valued part of handmade work.

Artistic Style & Materials

Clients are encouraged to review my portfolio prior to booking to ensure my style aligns with their expectations. I reserve artistic discretion in executing all work, including decisions related to layout, spacing, stroke weight, and material compatibility. While reasonable preferences will be considered, final aesthetic decisions rest with the artist.

Material Compatibility

Not all papers, surfaces, coatings, foils, inks, paints, or substrates behave predictably with specialty tools or techniques (including foiling, engraving, and metallic applications).

While I test materials whenever possible, I cannot guarantee identical results across all supplied or manufactured materials. Variations in absorption, finish, or reaction are considered part of the process and are not grounds for refunds.

If material compatibility is a concern, clients are welcome to provide a test piece prior to purchasing full quantities so compatibility can be evaluated in advance. Testing helps reduce risk but does not guarantee identical results across all final pieces.

Client-Supplied Materials

If you are supplying materials (such as envelopes, paper goods, glassware, or objects for engraving):

• Please provide 15% extra quantity to allow for testing, variation, and potential mishaps

• For engraving, please provide one additional item for every ten items supplied

I am not responsible for damage to client-supplied materials during testing or execution, including issues related to material incompatibility.

Proofs, Approvals & Accuracy

Where applicable, digital or physical proofs will be provided.

Clients are responsible for carefully reviewing and approving all proofs, including spelling, names, dates, and formatting. Once written approval is given:

• The project will proceed as approved

• I am not responsible for errors that were present in the approved proof

• Changes requested after approval may incur additional fees and timeline adjustments

Names and addresses will be written exactly as provided. I do not make etiquette, spelling, or formatting corrections unless specifically requested.

The number of included revision rounds will be specified in your quote (typically 1-2 rounds). Additional revisions beyond what is included may incur extra charges.

For hand-lettered or hand-painted work without digital proofs, the nature of the work means each piece is unique. Minor variations are part of the handmade charm and are not grounds for revision.

Quantities & Changes

Once final quantities are confirmed and materials have been ordered, quantities may not be reduced.

If quantities increase, additional fees will apply. If quantities decrease after materials have been purchased, the difference may be applied to additional work or future services where possible; otherwise, the difference may be forfeited.

Deposits & Payments

A non-refundable 50% deposit is required to secure your booking and begin work.

The remaining balance is due prior to delivery or shipment unless otherwise agreed in writing.

Late payments may incur a 10% late fee every 7 days past the due date.

Completed work will not be released or shipped until full payment is received.

Project Pauses & Delays

If a project is delayed due to lack of client response for 14 days or more, the project may be paused.

Restarting a paused project may require a restart fee of approximately 10% of the total project cost and may be subject to current availability.

Shipping, Delivery & Postal Services

Shipping and delivery costs are the responsibility of the client unless otherwise stated.

Items will be carefully packaged to ensure safe arrival.

Once items are handed off to a postal or courier service:

• I am not responsible for delays, loss, or damage

• Delivery timelines are estimates only

Clients are encouraged to purchase shipping insurance for valuable items.

Please note that postal delays and strikes may occur, particularly in our region. Clients are encouraged to build buffer time into their schedules.

Local pickup or delivery may be available in the Windsor, Ontario area and select locations in Michigan. Please inquire for details.

Risk of loss transfers to the client upon delivery to the shipping carrier or upon pickup by the client.

Cancellations

Deposits are non-refundable.

If a project is cancelled:

• More than 14 days prior to the agreed delivery or event date: the deposit is forfeited

• Within 14 days of the delivery or event date: up to 80–100% of the total project fee may be owed, depending on work completed

For live event services specifically, cancellations made 30-60 days before the event may receive a partial refund at my discretion.

I reserve the right to cancel a project if the client fails to provide necessary information, materials, or payment in a timely manner. In such cases, any deposit paid will be retained to cover time and materials already invested.

Live Event Services

Live event calligraphy and engraving services are booked by the hour or by the event. Specific details including setup requirements, materials, duration, and any additional costs will be outlined in the event proposal.

The client is responsible for providing a suitable workspace at the event venue, including a table, chair, adequate lighting, and access to electrical outlets if required.

I am not liable for damage to items provided by event attendees for personalization, though reasonable care will be taken. Items personalized at live events are done so at the owner’s risk.

If the event is postponed or rescheduled, I will make reasonable efforts to accommodate the new date. If the new date is not available, cancellation policies outlined above will apply.

Client Responsibilities

Clients are responsible for providing accurate and complete information, including but not limited to wording, names, addresses, dates, and any specific design requests.

I am not responsible for errors that result from incorrect information provided by the client. Corrections required due to client error may incur additional fees.

For envelope addressing or projects involving lists of names, it is the client’s responsibility to provide a final, proofread list. I will replicate the information as provided but cannot guarantee accuracy of the content.

Copyright & Usage

All original artwork, designs, calligraphy, and imagery remain the intellectual property of Vellum & Vine.

The client receives ownership of the physical piece (e.g., the painted artwork, engraved item, or addressed envelope) but does not acquire copyright to reproduce, distribute, or use the design for commercial purposes unless explicitly agreed in writing.

Clients are granted a non-exclusive license to use the finished work for its intended purpose (such as a personal event or private use). Any additional or commercial use requires written permission and may incur additional fees.

Social Media & Portfolio Use

I may photograph or share completed work for portfolio, website, or social media purposes. Sensitive information (such as addresses) is intentionally obscured or stylized.

If you prefer that your work not be shared publicly, please let me know in writing at the time of booking.

Limitation of Liability

My liability for any claim related to services provided shall not exceed the total amount paid by the client for the specific project in question.

I am not liable for indirect, incidental, or consequential damages, including but not limited to loss of use, loss of profits, or any other economic loss arising from the services provided.

Force Majeure

I am not liable for delays or failure to perform obligations due to circumstances beyond reasonable control, including but not limited to natural disasters, illness, family emergencies, or other unforeseen events. In such cases, I will communicate with the client as soon as possible to discuss alternatives or rescheduling.

Governing Law

These Atelier Policies are governed by the laws of the Province of Ontario, Canada.

Any disputes arising from these policies or services provided will be subject to the jurisdiction of the courts of Ontario.

Policy Updates & Modifications

Vellum & Vine reserves the right to update or modify these policies at any time. For future bookings, clients will be notified of significant changes. Continued engagement of services after changes are posted constitutes acceptance of the revised policies.
